How to write a federal resume

Why the federal resume is different

In the private sector, a one-page resume works. In federal employment the challenge is different: human resources specialists rate your resume against the announcement's exact requirements, and they can only credit the experience that is written down. And since September 27, 2025, USAJOBS only accepts resumes of 2 pages or less, the system won't let you upload or build a longer one. Today's federal resume has to document every job in detail AND fit in 2 pages.

The golden rule: if the announcement asks for specialized experience, your resume must demonstrate that experience with concrete words, dates and duties, not with generic titles.

What each job entry must include

For each work experience include:

• Job title and employer name, with city and state/country.
• Start and end dates (month and year).
• Hours worked per week (e.g. 40 hours/week).
• Specific duties and accomplishments, aligned with the announcement's language.
• Salary and supervisor contact are optional, but some announcements request them.

Recommended structure

1) Contact information. 2) Brief summary of qualifications (optional). 3) Work experience in reverse chronological order, with the detail from the previous section. 4) Education with institutions, dates and credits or degree earned. 5) Certifications, licenses, training, languages and awards.

Do not include a photo, date of birth or full social security number. The federal resume is a qualifications document, not a personal profile.

Tailor the resume to each announcement

Before applying, read the announcement's "Duties" and "Qualifications" sections and note the key terms. Make sure your resume uses those terms wherever they are true of your experience. Application questionnaires are checked against the resume: if you answer "expert" on something your resume never mentions, the application can be disqualified.
